1. What We Collect
When you use our Deal-Killer Detector, we collect the email address you provide, the building information you enter (name, location, year built, unit count), and the PDF documents you upload for analysis. When you use our Fair Housing Shield, we process the listing text you submit. We also collect basic usage data (IP address, timestamp, tool used) for rate limiting and abuse prevention.
2. How We Use Your Data
Your data is used exclusively to provide the diagnostic services you requested. On the free automated tools, text from your uploaded PDFs is sent to Anthropic's AI service (Claude) for extraction; the AI's output is then processed by our deterministic risk engine to generate your report, and we store the result in our database so your report link keeps working. On a commissioned engagement the handling is different, and a Board Reserve Review packet is never sent to any AI service at all — see section 3, which states both paths and is the only retention statement on this site.
3. Document Handling
There are exactly two processing paths on this site. Which of the two applies to you is decided by which product you used, not by which page you read: the free tools follow the first, anything ordered at /order follows the second. No other retention statement appears anywhere on this site. Document text that is sent to Anthropic's AI service is additionally subject to Anthropic's own data retention policies. Analysis results (extracted data points, risk flags, verdict) are retained in our database; the raw content of your uploaded documents is not.
The free automated tools
The free Condo Document Check (Deal-Killer Detector), the Inspection Repair Generator and the Fair Housing Shield — anything that returns a result in minutes without a person reading it.
AI service: Text from your documents is sent to Anthropic's Claude API for extraction. The risk verdict itself is then computed from that extracted data by deterministic rules, not by the model.
Storage: The uploaded PDF is stored on our server only for the duration of the analysis run.
Deletion: It is deleted the moment the run finishes — on success and on failure alike — not on a timer and not after a delay. What is kept is the structured result (extracted data points, risk flags, verdict) so your report link keeps working.
Commissioned engagements — the $199 buyer analysis and the $2,000 Board Reserve Review
Anything ordered through the engagement flow at /order, where a named person reads the packet and signs the report over a stated number of business days.
AI service: A Board Reserve Review packet is never sent to any AI service. That is enforced in the application, not promised in copy: the upload handler has no branch that can route a board engagement to an extraction engine, whatever the server is configured to do. For the $199 buyer-side analysis, extraction may run against your documents when the operator has the engine enabled; either way no report is released until a person has reviewed and approved it.
Storage: Your packet is stored in a private directory outside any web root, and it is kept for as long as the engagement needs it — which on a 10-business-day board review means the whole of those ten days, because a person has to read it.
Deletion: It is deleted automatically when the engagement reaches a terminal state — delivered, declined or cancelled — and immediately, on demand, from the “Delete my uploaded documents” button on your own engagement page. That button performs the deletion itself; it is not a request to a mailbox.
4. Third-Party Services
We use Anthropic's Claude API for AI-powered document analysis. Document text and listing descriptions are sent to Anthropic's servers for processing. Anthropic's data handling practices are governed by their own privacy policy and commercial API terms, which specify that API inputs are not used for model training.
5. Data Sharing
We do not sell, rent, or share your personal information or document data with third parties for marketing purposes. We may share data only: (a) with Anthropic as described above for processing, (b) if required by law or legal process, or (c) to protect our rights or safety.
6. Data Security
All data transmission uses SSL/TLS encryption. Our servers are hosted on secured virtual private servers with restricted access. Database credentials are auto-generated and unique per deployment. However, no system is 100% secure, and we cannot guarantee absolute security of your data.
7. Your Rights
If you have a commissioned engagement, your own engagement page carries a Delete my uploaded documents button that performs the deletion immediately and shows you the result — it is an action on this site, not a request to a mailbox, and it works whether or not anyone reads email that day. For analysis data held against a free-tool report, send the report ID through the contact form (the form writes to our server and alerts the operator; this domain does not receive inbound email, so please do not use an email address for this). We delete the associated database records within 30 days of the request.
8. Cookies
Our application does not use tracking cookies or third-party analytics scripts. We use only essential server-side mechanisms (IP-based rate limiting) to maintain service quality.
